  • About The Role

  • The Project Management Office (PMO) supports the successful delivery of programmes and projects across our defence portfolio. As a focused team, the PMO provides governance, planning, reporting, risk management, and delivery assurance to ensure projects meet customer, regulatory, and contractual requirements. Operating within a highly regulated defence environment, the PMO enables consistent project controls, drives delivery discipline, and supports strategic decision-making. The team plays a critical role in safeguarding project performance and enabling the organisation to meet its commitments to its customers.

Make an impact behind every successful project

As a Project Administrator, you will be at the heart of our Project Management Office (PMO), helping to deliver programmes and projects that support our defence customers. Your organisation, attention to detail, and coordination skills will help Project Managers keep projects on track, manage risk, and deliver against customer commitments.

Whether you are coordinating meetings, maintaining project records, or preparing reports, your work will provide the information and structure that enables successful project delivery. You will join a collaborative team that values accuracy, continuous improvement, and shared success.

    What you'll be doing

As part of our PMO, you will support Project Managers with their projects throughout their lifecycle, from initiation to delivery and close-out. You will help maintain project controls, ensure information is accurate and up to date, and support governance processes that enable informed decision-making.

    Your responsibilities will include:

    • Supporting Project Managers throughout the project lifecycle in line with the Delivery Gate Model.
    • Preparing, updating, and maintaining project documentation, including project plans, schedules, risk and issue registers, action logs, and change records.
    • Maintaining accurate contract and project records while ensuring document control, version management, and compliance with governance requirements.
    • Coordinating project meetings by arranging logistics, preparing agendas, recording minutes, and monitoring actions through to completion.
    • Collecting project data to support cost, schedule, and performance reporting, including monthly forecasts and progress updates.
    • Producing clear and accurate reports for project teams, senior leaders, customers, and other stakeholders.
    • Working with colleagues across multiple functions to gather information and ensure project data is complete, accurate, and delivered on time.
    • Contributing to the continuous improvement of PMO processes, templates, and reporting tools to support consistent project delivery.
    • Providing day-to-day administrative support across assigned projects and the wider PMO team.

    What you'll bring

You'll enjoy working in a structured environment where organisation and attention to detail matter. You take pride in producing accurate work, building positive working relationships, and helping teams achieve their objectives.

    You'll also bring:

    • Strong organisational and administrative skills with the ability to manage competing priorities.
    • Excellent written and verbal communication skills.
    • Confidence working with data, documentation, and project records.
    • A proactive approach to solving problems and improving ways of working.
    • Good knowledge of Microsoft Office, particularly Excel, Word, Outlook, and PowerPoint.
    • The ability to work collaboratively with a wide range of stakeholders while maintaining confidentiality and professionalism.

    Why join us?

This is an opportunity to build your career in project management within a professional and highly regulated defence environment. You'll work alongside experienced Project Managers and PMO professionals, gaining valuable exposure to the full project lifecycle while developing skills in governance, planning, reporting, and project controls.

Your work will make a real difference by helping projects run smoothly, supporting informed decision-making, and enabling the successful delivery of programmes that matter. If you're organised, collaborative, and enjoy bringing structure to complex work, we'd love to hear from you.
